Position Overview
The Facility/Barn Manager oversees the day-to-day operations and ongoing maintenance of the equestrian facilities and shared amenities at Will Rogers Equestrian Ranch. This role is primarily focused on coordination—working with vendors and service providers to maintain the property and support animal care—but may occasionally require hands-on work for minor repairs or immediate needs, especially when animal health or safety is at stake.
The ideal candidate is a proactive problem-solver, an excellent communicator, and someone who takes pride in supporting a safe, clean, and connected community.
 
Key Responsibilities
1. Vendor Coordination & Grounds Oversight
  • Schedule, coordinate, and oversee third-party vendors for maintenance, repairs, and routine services related to equipment, arenas, fencing, landscaping, and facility infrastructure.
  • Monitor the condition of grounds and equipment, ensuring timely attention to any issues that arise.
  • Ensure that the community’s physical assets are maintained to high standards of safety and cleanliness.
2. Animal Care Oversight & Minor Maintenance
  • Oversee animal care services to ensure horses have consistent access to clean water, food, and safe environments.
  • Serve as a backup in urgent situations—such as replacing automatic waterers, fixing minor leaks, or handling simple mechanical tasks—to ensure animals' immediate needs are met.
  • Coordinate with residents and professionals regarding new horse arrivals or health concerns.
3. Facility Management & Administrative Duties
  • Ensure barns, tack rooms, storage spaces, and shared amenities remain clean, orderly, and stocked through regular inspections.
  • Manage inventory and reordering of community supplies (e.g., fly spray, tools, cleaning materials).
  • Oversee preparation of common spaces for meetings or events.
  • Maintain light administrative tasks, such as tracking maintenance schedules, coordinating payroll submissions, managing expense reporting and coordinate billing.
4. Community Engagement & Communication
  • Act as the main point of contact for residents regarding facility issues, maintenance requests, and general inquiries.
  • Communicate clearly and promptly about scheduled work, unexpected issues, or event-related updates.
  • Represent the values of the community through positive, respectful, and solutions-oriented interactions with residents and service providers.
 
Qualifications
  • Minimum 3 years of experience in facility or property management, preferably within a community or equestrian setting.
  • Strong organizational and communication skills; experience coordinating vendors and service providers.
  • Comfortable performing basic repairs (e.g., minor plumbing or hardware fixes) when necessary.
  • Familiarity with equestrian facility operations is a plus.
  • Ability to work independently, prioritize tasks, and respond to urgent situations with professionalism and care.
